Lockout notice

  • Lock out the machine
  • Do not remove the tag
  • Ask your supervisor
A lockout notice, the way it hangs by a press. Illustrative.

That’s the line. We translate the paper your workers get on day one and the paper they walk past every day after, and we keep the words the same everywhere so a “lockout” on the sign is a “lockout” in the handbook.

Same sentence, two versions

Plain language costs you nothing in meaning. It's the difference between a notice people skim and a notice people follow. In the notice package, we run this pass for you.

Both versions shown one above the other.

As written

Prior to performing any servicing or maintenance on the equipment, employees shall ensure that all energy sources have been isolated and that their personally assigned lock has been affixed to the energy-isolating device.

Plain-language pass

Before you fix or clean a machine, shut off every power source. Then put your own lock on the shutoff.

English only. Worked out in your browser. It isn't a compliance measure.

Languages on the floor

Spanish and Hmong first. Arabic next. Then Polish, Vietnamese, Russian and the rest of the 15.

One caveat: Hmong and Tagalog sometimes add a business day, because fewer linguists work those pairs. Everything else runs to the dates on the cards.

The review pass on a crew notice

Drag the line. Left is the first draft, right is what the second linguist leaves.

Illustrative sample, not a client job

First draft

PELIGRO: CIERRE REQUERIDO. Antes de que usted limpie, despeje un atasco o abra una guardia en la Línea de Prensa 2, apague la potencia y ponga su propio candado y etiqueta en la desconexión. Solamente la persona que puso un candado puede quitarlo. ¿No está seguro? Pregunte a su supervisor antes de que toque la máquina.

After review

PELIGRO: BLOQUEO OBLIGATORIO. Antes de limpiar, despejar un atasco o abrir una guarda en la Línea de Prensa 2, corte la energía y ponga su propio candado y su etiqueta en el interruptor de desconexión. Solo quien puso un candado puede quitarlo. ¿No está seguro? Pregunte a su supervisor antes de tocar la máquina.

Use the left and right arrow keys. Home shows the first draft. End shows the reviewed version.

  • Term: "lockout" is bloqueo, as in bloqueo y etiquetado, not cierre
  • Terms: a machine guard is a guarda, not a guardia (a security guard); "power" is energía, not potencia
  • "The disconnect" is the switch: interruptor de desconexión
  • Tone: shorter, direct commands
Illustrative sample, not a client job

First draft

CAUTION. Yog lub log grinder taw, nres tam sim ntawd. Qhia koj tus supervisor.

After review

Ceev faj! Yog lub log grinder tawg, nres tam sim ntawd. Qhia koj tus supervisor.

Use the left and right arrow keys. Home shows the first draft. End shows the reviewed version.

  • Heading: translated as Ceev faj ("be careful"), not left in English
  • Tone letter: tawg (cracked), not taw (foot)
  • Kept in English: grinder and supervisor, the words Hmong crews in US plants use

Hmong is written in RPA, the Romanized Popular Alphabet. Most words end in a tone letter, and words in the mid tone have none. Drop one of those letters and you get a different word.

Where OSHA fits, and where it doesn't

This is context, not a promise. Translating your documents helps you give instructions in a language your crew reads.

We translate the documents you give us. We don’t write safety programs, train workers, run audits, or tell you what OSHA requires. OSHA’s 2010 training policy says instruction has to be in a language and vocabulary workers understand. Whether your training meets that is your call, or your safety consultant’s. Not legal advice.

What to send, and what to leave out

Word files first. Then editable PDFs. The brief asks which jobs the notice applies to, who reads it, and whether you want a glossary.

HR files carry personal data: pay, Social Security numbers, medical notes. Remove what we don’t need before you upload.
